Studio policies to ensure a smooth and positive experience for everyone

The Pilates Cloud – Terms and Conditions

1. General

Age Restrictions: Clients must be at least 16 years old to participate in group classes. Individuals under 16 are not permitted in the studio or waiting areas.

Health and Safety: Clients are responsible for ensuring they are physically fit to participate in classes. If you have any medical conditions, injuries, or have recently contracted a communicable disease (e.g., COVID-19), please consult a medical professional before attending and provide written clearance if necessary.

2. Bookings and Payments

Advance Booking: All classes and sessions must be booked and paid for in advance through our online system MindBody. Private classes can be scheduled via email to hello@thepilatescloud.co.uk.

Payment Methods: We accept payments via major credit/debit cards and other methods as specified on our website. We operate a cashless policy.

3. Memberships and Package Terms

All classes, whether booking a single class, block or membership are non-refundable and non-transferable. Specific terms, including validity periods and usage, apply to memberships and class packages, which are outlined below.

Packages:

Single Class - 1 month expiry from date of purchase
Intro Offer - 2 week expiry from date of purchase
5 Class Pack - 2 month expiry from date of purchase
10 Class Pack - 3 month expiry from date of purchase
20 Class Pack - 6 month expiry from date of purchase

Memberships:

Membership Term: Memberships require a minimum commitment of 3 or 12 months, depending on the option selected at purchase. The membership term begins on the date of the first payment.

Renewal: We do not operate an automatic renewal policy, therefore if you wish to renew your membership this will need to be done manually by purchasing a new membership term.

Cancellation Policy:

• Memberships cannot be cancelled within the commitment period.

Payment & Billing: Membership payments are automatically charged monthly via the payment method on file. It is the client’s responsibility to ensure payment details are up to date.

Failure to Pay: If a payment fails, access to classes will be suspended until the outstanding balance is settled. If payment is not received within 7 days, the membership may be cancelled at The Pilates Cloud’s discretion.

Changes to Membership Terms: The Pilates Cloud reserves the right to update membership pricing and terms. Clients will be given at least 30 days’ notice before any changes take effect.

4. Cancellations and Refunds

Class Cancellations by Client: Cancellations made more than 24 hours before the class start time will be credited back to your account. Cancellations within 24 hours will result in the forfeiture of the class credit.

Class Cancellations by Studio: If The Pilates Cloud cancels a class or session, clients will be notified as soon as possible, and a credit or refund will be provided.

Refunds: All sales are final. Refunds are not provided for missed classes or unused memberships/packages/classes.

5. Waitlist Procedure

Clients can add themselves to a waitlist for a class that is fully booked. Should someone cancel a class within our permitted 24-hr cancellation window, you will automatically be added to the class and notified via email. If there is a late cancellation less than 24 hours before a class, then you will not be added automatically. You will need to check the class availability and book your place manually. The same cancellation period applies to any classes you are added to from a waitlist.

6. Studio Etiquette

Arrival Time: Please arrive no more than 5 minutes before your scheduled class. Late arrivals may not be admitted to avoid disruption.

Attire: Wear appropriate workout clothing and grip socks for safety and hygiene.

Personal Belongings: The Pilates Cloud is not responsible for any lost or stolen items. Please keep personal belongings in designated areas.

7. Liability Waiver

By attending classes at The Pilates Cloud, clients acknowledge and accept the inherent risks associated with physical exercise and agree to release the studio, its instructors, and staff from any liability arising from personal injury or loss of property.

8. Privacy Policy

Client information is collected for the purpose of providing services and will not be shared with third parties without consent, except as required by law.

9. Changes to Terms

The Pilates Cloud reserves the right to modify these Terms and Conditions at any time. Clients will be notified of significant changes via email or through our website.
